Assistant Director of Operations and Compliance

POSITION SUMMARY:

Working under the direction from the Executive Director of Financial Aid, the Assistant Director of Operations and Compliance will perform a wide variety of tasks in support of the Pell grant program, TEACH grant program, Return of Title IV Aid, as well as activities related to Title IV regulations and compliance.  To this end, the Assistant Director of Operations and Compliance will be the campus community’s point of contact for communicating updates to federal regulation; as well as the facilitator of necessary procedural changes that align with the Financial Aid office’s vision for student success.

 

DUTIES TO BE PERFORMED:

Federal (Title IV) Grant Programs:

Ø  Review roster of Pell eligible students on an ongoing basis and award any qualifying applicants who did not pick-up in mass packaging (less than half-time, ISIR updates, verification changes, LEU, ISIR discrepancies, December grads).

Ø  Repackage students for enrollment changes that happened during the add/drop period or who have new late enrollment within the term (modular packaging).

Ø  Repackage students who have a revised EFC and were not identified for late ISIRs or verification changes.

Ø  Manually calculate and package all students with a lifetime eligibility used indicator and clear their NSLDS holds as well as their financial aid alerts after disbursement each term.

Ø  Manually calculate and package all students who are part-time in spring but add winter enrollment.

Ø  Manually package and repackage all students with Pell eligibility during summer sessions.

Ø  Run queries to identify any eligible IASG and CFH applicants and package accordingly.

Ø  Run monthly queries to reconcile FSEOG allocation.

 

Return of Title IV Aid:

Ø  Run weekly queries to review any term withdraws and un calculations for title IV aid programs both for full-term and modular withdrawals.

Ø  Review unofficial withdraws at the end of each term after grades are posted

Ø  Coordinate with Registrar and Bursar to review petitions for change in term withdraw

Ø  Manually review and calculate summer withdraws at the end of each session within the term.

Ø  Collaborate with Bursar’s office to review unpaid refunds and determine if title IV adjustment is necessary.

Ø  Repackage students at the end of the audit course window (9th week of the term) for any courses adjusted to an audit status.

Ø  Work with Data Integrity Coordinator to reconcile and review and changes throughout the year.

Ø  Manage application, award, and reconciliation of the Federal TEACH grant program.

 

Regulatory & Compliance

Ø  Create training material to onboard new financial aid staff.

Ø  Support the development of financial aid and consumer financial protection compliance training materials.

Ø  Documenting results of collaborative trainings with other student service offices.

Ø  Reviews and monitors the awards of all athletes.

Ø  Support the Director with NCAA Division II compliance.

Ø  Maintain and updates the policies and procedures manual

Ø  Develop and update the compliance calendar in response to regulatory or institutional changes.

Ø  Monitor 30-day federal reconciliation review for Federal Pell Grant

Ø  Support verification team with document management and file review

MINIMUM QUALIFICATIONS: • Bachelor’s degree is required; • a minimum of two years’ experience working in a financial aid office PERFERED QUALIFICATIONS: • Experience with People Soft Student Information System • Working with Title IV reconciliation processes
