Job Description:

The Associate Director of Financial Aid Operations & Technology is assigned responsibilities related to the configuration, operation, and maintenance of technology platforms used to capture, store, and process information used in the administration of financial aid.  The Associate Director participates directly in the design and execution of operational activities that result in the timely and accurate awarding, disbursement, and tracking of student aid.  The Associate Director ensures that his/her work, and that of assigned staff, is in compliance with state, federal, NCAA, and institutional regulations.

 

University System of Record:  Work with University partners (i.e. admissions, registrar, IS&T) to ensure that the University’s system of record (Banner) is properly configured to capture and report financial aid data; ensure that all functionality of the system is optimized in support of efficient and robust operations.
External/Auxillary Systems:  Ensure that the multitude of external and auxillary systems used by financial aid in the administration of aid are set-up and used effectively in daily operations (COD, CPS, SAIG, EdConnect, EdExpress, NSLDS, as well as ELM online services).
Reporting Platforms: Work with University partners (i.e. IS&T) to ensure that the University’s reporting platforms are properly configured to report financial aid data.
Data Imports:  set-up and support the routine import of data into the technology platforms.
Data Integration:  Ensure that information flows between systems in a logical, efficient, and accurate way; leverage the expertise of IS&T partners to optimize the integration of all technology/data platforms.
Data/System Auditing:  conduct audits of data and systems to ensure the integrity of information.
Financial Aid Operations:  ensure the timely and accurate packaging and disbursement of student aid; ensure the effective flow of information and documentation throughout the process; ensure the full implementation of all institutional aid programs.
Trouble-Shooting:  serve as a contact in trouble-shooting technology & operational issues that hinder the flow of applicants through the financial aid process.
Regulatory Compliance:  ensure compliance with all state, federal, NCAA, and institutional regulations; stay abreast of changes related to compliance.
Process Engineering & Documentation:  ensure that all processes are optimized and documented.
Key Collaborations:  work extensively with Jefferson colleagues as well as external vendors, service providers, and government agencies on the effective administration of aid.
Staff Management:  directly manage employees as assigned (includes hiring, onboarding, training, performance management); serve as the point of contact in the absence of the team leader.
Financial Aid Leadership Responsibilities:  as a member of the Financial Aid team, contribute to efforts related to planning, policy & procedure development, quality assurance & effectiveness, and team management.
Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.

Qualification:

Candidate must have 3-5 years of experience working in a financial aid office with a focus on or affinity for the technological aspect of the operation. All positions in Jefferson Enrollment Management require competency in the following areas: •Communication skills •Interpersonal skills •Attention to detail •Critical thinking and problem solving skills •Ability to work independently and as part of a team in a high-volume and ever-changing environment •Microsoft Office Suite, effective use of computers and related software •Positive customer service orientation This position requires competency in these additional areas: •Financial Aid Administration (Title IV, PHEAA, NCAA) •Student Information Systems (Banner preferred) Bachelor’s Degree required
